Parts and inventory

Receive, reserve, move, consume and return whole-unit parts with a traceable history.

What to do

  1. Open Parts & inventory. Create a named warehouse or technician vehicle, then create each part with its own SKU and name. These are stock records; existing billable material records remain separate.
  2. Open Record stock movement. Choose receive for deliveries, transfer for movement between locations, or adjust for a counted correction. Enter whole units and a reason. A negative adjustment cannot remove reserved stock.
  3. Choose reserve, select a location, part and open work order, and enter the required quantity. Reservations reduce available stock without reducing on-hand stock.
  4. Choose consume against the reservation when parts are used. Release unused reservations. Return can only restore previously consumed quantities that have not already been returned; it returns stock to the original reservation location.
  5. Choose Set minimum stock to define your own replenishment threshold. Stock levels marks locations whose available quantity is below that threshold. Review reservations and movement history below.

Before you continue

Consumption does not create report actuals, charges, purchase orders or ERP postings. Record actual material and billing evidence in the normal service workflow.

Quantities are whole units. Fractional quantities, purchase ordering, lot/serial tracking and inventory valuation are not included.

Every movement is retained with its reason. Correct mistakes with a new movement, never by rewriting history. Lists and selection controls provide search and previous/next pages.

Questions and troubleshooting

Why is stock unavailable when it is on hand?

Another work order may have reserved it. Available equals on hand minus reserved. Release only reservations that are no longer needed.

What happens if two users reserve the same last part?

The server checks both requests in sequence. Only a reservation supported by available stock succeeds.

Can a technician change stock?

The current inventory workspace is for coordinators, service managers and organization owners. A technician assignment does not grant stock-management permission.
