Give colleagues only the access required for their job.
What to do
- Open Administration. Review existing members before inviting someone again; a pending invitation is different from an accepted active membership.
- Choose Invite a member. Enter the intended work email and select the appropriate available role. Check the address and role before submitting.
- Review invitation status and delivery information. Delivery does not prove that the recipient has accepted or completed account setup.
- For an existing member, review their current role and active status before changing access. Explain the change through your organization’s process.
- Use Administration activity to review recorded changes. When a colleague leaves, remove active access rather than merely asking them to sign out.
Before you continue
Coordinator: organize customers, assets and service work. Engineer: execute assigned work and reports. Service manager: review service decisions, coverage and quotations. Billing: review and submit service billing. Integration manager: investigate integration handover. Tenant administrator: manage organization access.
A personally designated owner exists for the operator; it is not an assignable invitation role or a template for all administrators.
Downloaded files cannot be recalled by disabling an account. Handle exports according to your organization’s policies.
Questions and troubleshooting
Why is an invitation not usable?
Check whether it expired, was revoked, was already accepted or was sent to a different address. Review its recorded status before issuing another invitation.
Why can I not disable the last administrator?
The system protects the organization from losing its remaining administrative access. Arrange an appropriate active administrator first; do not try to bypass the check.
